Henley Executive Cars

These Terms and Conditions (“Terms”) set out the agreement between Henley Executive Cars (“we”, “our”, “us”) and the client (“you”, “your”) for the provision of chauffeur and private hire transport services. By booking with us, you agree to these Terms.

 

1. Bookings

1.1 All bookings must be confirmed in writing via email or through our booking platform.
1.2 It is your responsibility to ensure that all booking details (dates, times, addresses, flight numbers, etc.) are correct at the time of booking.
1.3 Any amendments must be communicated in writing as soon as possible.

 

2. Pricing and Payment

2.1 All prices are quoted in GBP and are exclusive of VAT unless stated otherwise.
2.2 Payment is due prior to travel unless an approved account facility has been arranged.
2.3 We accept payment by bank transfer, debit/credit card, or approved business account.
2.4 Any additional charges (including but not limited to parking, waiting time, tolls, or route deviations) will be added to the final invoice.

 

3. Cancellations and Refunds

3.1 All cancellations must be made in writing (email is accepted).

3.2 For standard bookings:

  • Cancellations made more than 24 hours before the scheduled pickup time: No charge
  • Cancellations within 24 hours of pickup: 50% charge
  • Cancellations within 12 hours or no-shows: 100% charge

3.3 For airport transfers, failure to provide correct flight details may result in full charges if the driver has already been dispatched.

 

4. Waiting Time and Delays

4.1 Airport collections include 45 minutes of complimentary waiting time after the flight landing time.
4.2 Non-airport pickups include 15 minutes of complimentary waiting time.
4.3 Waiting time beyond these allowances will be charged at the standard hourly rate.

 

5. Conduct and Safety

5.1 Seat belts must be worn by all passengers at all times.
5.2 Smoking, vaping, and the consumption of alcohol or illegal substances are strictly prohibited in all vehicles.
5.3 We reserve the right to refuse transport to any passenger whose behaviour is deemed unsafe, abusive, or inappropriate.

 

6. Liability

6.1 While every effort is made to provide a punctual service, Henley Executive Cars shall not be held liable for delays caused by circumstances beyond our control, including traffic conditions, weather, accidents, or road closures.
6.2 Our total liability shall not exceed the cost of the journey booked.
6.3 We accept no responsibility for loss or damage to personal belongings left in our vehicles.

 

7. Vehicle Allocation

7.1 We reserve the right to provide an alternative vehicle of similar or higher standard should the booked vehicle become unavailable.
7.2 All vehicles are fully insured and licensed in accordance with UK regulations.

 

8. Account Clients

8.1 Account clients will be invoiced monthly, with payment due within 14 days unless otherwise agreed in writing.
8.2 We reserve the right to suspend or terminate an account in cases of late payment or misuse.

 

9. Privacy and Data Protection

9.1 All client data is handled in accordance with the UK Data Protection Act 2018 and UK GDPR.
9.2 Personal information will only be used for booking management, billing, and communication purposes.

 

10. Governing Law

These Terms and any disputes arising from them shall be governed by and interpreted in accordance with the laws of England and Wales, and both parties submit to the exclusive jurisdiction of the English courts.
